The service
StrataMinutes.ca prepares formatted draft meeting minutes and compliance checklists for British Columbia strata corporations from materials you provide. StrataMinutes is a document-preparation service. It is not a law firm and does not provide legal advice. The compliance checklist is an informational aid based on common requirements of the Strata Property Act, not a legal opinion.
Your responsibilities
- You confirm you are authorized by your strata corporation (or management company) to submit its meeting materials.
- All minutes we prepare are drafts until reviewed and approved by your council or ownership according to your usual process. You are responsible for reviewing documents for accuracy before distribution.
- You agree not to submit materials you have no right to share.
Free month and automatic renewal
- New memberships begin with a 30-day free month. A payment card is needed to start it, and nothing is charged during the free month.
- The free month includes one standard council meeting on the Monthly and Annual plans (three on the Manager plan), the compliance checker, and the free templates.
- Unless you cancel before the free month ends, your membership continues automatically at the plan price shown at checkout ($29 per month or $299 per year at the founding rate, or $149 per month for the Manager plan). Your card is charged when the free month ends and then at the start of each billing period until you cancel.
- You can cancel at any time from Manage Billing in your dashboard. If you cancel during the free month, you are not charged anything.
- The free month is offered once per member.
Membership and billing
- Monthly membership includes one standard meeting credit per month (credits do not roll over). Annual membership includes twelve credits usable any time during the term.
- The Monthly and Annual memberships are for the meetings of one strata corporation. Strata managers and administrators preparing minutes for several strata corporations use the Manager plan or a company account.
- AGM/SGM preparation, audio transcription, and additional meetings carry the fees shown on the pricing page, charged at checkout before processing.
- Founding-rate pricing remains in effect while your membership remains continuously active.
- You can cancel any time from Manage Billing; your membership runs to the end of the paid period.
- If a preparation fails on our side, your credit is returned automatically. If you are ever unhappy with a result, contact us within 30 days and we will make it right or refund the meeting.
Manager plan
- The Manager plan is $149 per month and includes ten standard meeting credits per month, which do not roll over. The fees for AGM/SGM minutes, audio, and meetings beyond the included credits apply as on every plan.
- A new Manager plan starts with a free month that includes three meeting credits. The full ten arrive with the first paid month.
- Monthly members can switch to the Manager plan from their dashboard. The price difference for the rest of the current billing month is charged at the time of the switch (nothing is charged during a free month), and the additional meeting credits for that month are prorated in the same way.
Company accounts
- A company account lets a strata management company buy Manager plan seats on one monthly invoice. The person who sets it up (the account holder) confirms they are authorized to do so on the company's behalf.
- Each seat includes ten standard meeting credits per billing month. Credits belong to the seat: moving a seat to another person moves its remaining credits with it. Credits do not roll over.
- Seats are priced per the volume pricing on the company accounts page, with every seat billed at the price of the tier the total number of seats falls in. Company accounts do not include a free month.
- Seats added during a billing month are charged for the rest of that month when they are added, and receive a matching prorated share of that month's credits. Removed seats remain usable until the end of the billing month already paid for and are then removed from the next invoice. Part months are not refunded.
- The account holder controls only the seats the company pays for: who holds each seat, how many seats there are, billing, and cancellation. The account holder cannot access the minutes prepared by seat holders, and cannot see, change, or cancel any membership a seat holder pays for personally.
- Each seat holder is responsible for the materials they submit, as described under Your responsibilities. Minutes remain in the account of the person who prepared them.
- If a company account payment fails, its seats are paused until the invoice is paid. When a company account is cancelled, its seats end at the end of the billing month already paid for.
One-time orders
- Until December 31, 2026, one set of minutes can be ordered without a membership for a single payment of $59.99, plus the usual fees for AGM/SGM minutes or audio recordings. This is an introductory offer and ends on that date.
- A one-time order includes the PDF and Word minutes, the compliance checklist, and one revision. It does not start a membership and does not renew.
- Your order is reached through a private link sent to the email address used at checkout. Keep it private: anyone with the link can open the order. If preparation fails on our side, you can try again from the order page at no charge, or contact us for a refund.
Referral credits
- Members who pay for their own membership can share a referral link. When someone starts their first StrataMinutes membership through that link and makes their first payment after their free month, the referrer receives a credit worth one month of their plan, limited to the value of one month of the new member's plan and to the amount of that first payment.
- Credits are applied automatically to future membership invoices, have no cash value, and cannot be transferred. A referrer can earn up to twelve credits in any twelve months, and must have an active membership when a credit is earned.
- Self-referrals (including through another email address or the same payment card), returning members, and seats on a company account do not earn credits. If a payment that earned a credit is refunded, the credit may be removed.
- We may change or end the referral program by updating the referral program page. Credits already earned are honoured.
Liability
To the maximum extent permitted by law, our total liability for any claim related to the service is limited to the amount you paid us in the twelve months preceding the claim. We are not liable for decisions made by your strata corporation based on prepared documents.
