1. Send us what you have

Upload whatever came out of your meeting: typed notes, a Word file, a PDF, photos of handwritten pages, or an audio recording of the whole meeting. Point form is fine. Messy is fine. That's the point.

We accept PDF, Word, plain text, photos (PNG/JPG), and common audio formats (MP3, M4A, WAV and more).

2. We prepare your minutes

Your notes are transformed into complete, professionally formatted minutes that follow the record-keeping requirements of the BC Strata Property Act: motions recorded with movers, seconders, and results; attendance and quorum noted; financial figures presented clearly; consistent, neutral language throughout.

You also receive a compliance checklist, a plain-English list of anything your meeting record is missing, so your council can fix gaps before they become problems.

3. Download, review, and distribute

Your document package is usually ready within minutes: a polished PDF for distribution and an editable Word document for your records. We email you the moment it's ready.

Need a correction? Every meeting includes one revision. Tell us what to change in plain English and we'll issue an updated version.

A note on approval: like all strata minutes, the documents we prepare are drafts until your council reviews and approves them at your next meeting. StrataMinutes makes the record-keeping effortless, and your council stays in charge of the record.

Is our information kept private?

Yes. Your documents are used only to prepare your minutes, are never shared or sold, and are never used to improve anyone else's product. See our privacy policy.

We use a property manager. Is this still useful?

Many managed stratas prepare their own council minutes, and many managers use StrataMinutes to save staff hours. If your management contract bills separately for minute preparation, StrataMinutes usually costs a fraction of that line item.

What about AGMs and special general meetings?

Fully supported, including registration and proxy counts, resolutions with vote results, elections, and budget approval. AGM/SGM minutes carry a small additional fee (see pricing) because they're substantially larger documents.
