StrataMinutes.ca ("we", "us") prepares professional meeting minutes for British Columbia strata corporations. Meeting records contain personal information, and we treat that responsibility seriously. This policy explains what we collect, why, and how it is protected, in accordance with the BC Personal Information Protection Act (PIPA) and Canada's PIPEDA.

What we collect

• Account information: your email address, and optionally your name and strata name.
• Meeting materials: the notes, documents, photos, and recordings you upload, and the minutes we prepare from them.
• Payment information: handled entirely by Stripe, our payment processor. We never see or store your card number.

How your materials are used

• Your meeting materials are used for one purpose only: preparing your minutes and compliance checklist.
• We never sell, share, or publish your materials or minutes.
• Your materials are never used to train any system or to improve anyone else's product.
• Documents are processed by our secure service providers under contractual confidentiality, then stored only so you can re-download them.

Retention and deletion

Your minutes remain available in your account so your strata has a continuous record. You may request deletion of any meeting's materials, or your entire account, at any time by emailing clientsupport@strataminutes.ca. We complete deletion requests within 30 days.

Security

All connections to StrataMinutes are encrypted (HTTPS). Access to stored documents is restricted to your signed-in account and to the operator for support purposes only.
