Who company accounts are for

Company accounts are for strata management brokerages whose managers prepare council and general meeting minutes for the strata corporations they manage. Minutes are one of the largest recurring demands on a strata manager's time, and most of that time is spent after the meeting has ended: turning notes into a record that meets section 35 of the Strata Property Act, then getting it to owners within the two weeks Standard Bylaw 19 allows.

With a company account, the company pays one monthly invoice and decides which managers have a seat. Each manager signs in with their own email address and sends us their meeting notes; complete, consistently formatted minutes come back, usually within minutes, with a compliance checklist.

How a company account works

  1. Choose your number of seats

    Pay the first month by card through Stripe's secure checkout. Your company is the customer on every invoice.

  2. Give each seat to a manager

    On your company page, enter each manager's work email address. They receive an email letting them know their seat is ready.

  3. Managers sign in with their own email

    There are no passwords to share or reset: each sign-in uses a 6-digit code sent to the manager's own address. From there, a seat works exactly like the individual Manager plan.

  4. Manage seats whenever you need to

    Move a seat to a new manager, add seats, or remove seats from your company page at any time. Invoices, the company card, and cancellation are under Manage Billing.

Who controls what

A company account controls the seats it pays for, and nothing else. Managers use their seats exactly as they would their own membership.

A manager's own membership stays theirs. If one of your managers already pays for StrataMinutes themselves, your company cannot see, change, or cancel that membership. Once they hold a company seat, their meetings use the company seat first, and they can cancel their own membership from their dashboard whenever they choose.

Pricing

Every seat on the account is billed at the price of the tier your total number of seats falls in. Prices are per seat, per month, in Canadian dollars.

Company accounts do not include a free month: every seat is active, with its full ten meetings, from the day you sign up. The individual Manager plan ($149 a month) is the way to try StrataMinutes free for a month first.

What each seat includes

  • Ten meetings prepared every month, from typed notes, Word documents, PDFs, or photos of handwritten pages.
  • A polished PDF and an editable Word document for every meeting, formatted consistently across all of your strata corporations.
  • A compliance checklist with every set of minutes, noting anything the record should include.
  • One revision per meeting, requested in plain English.

The usual per-meeting fees apply on company seats, exactly as for every member:

Fees are paid by card when the meeting is submitted. Unused meetings do not carry over to the next month.

When a manager joins or leaves

When a manager joins, give them a vacant seat, or add a seat. They can start straight away.

When a manager leaves, move their seat to their replacement. The seat's remaining meetings for the month go with it: a seat's meetings belong to the seat, not the person, so moving a seat never adds or loses meetings.

Use company email addresses. Sign-in codes are sent to the address on the seat. When seats are given to company mailboxes, access stays with your company when someone moves on. Minutes a manager has already prepared remain in the account they were prepared under, so keep your official copies in your usual records system, as you do today.

Billing and invoices

  • One invoice a month for all seats, charged to the company card. Stripe emails each invoice, and your full invoice history is under Manage Billing on your company page.
  • Adding seats: you are charged today for the rest of the current month, and the new seats receive a matching share of that month's meetings. From the next billing date they have the full ten.
  • Removing seats: the seat keeps working until the end of the month already paid for, then comes off your next invoice. There are no refunds for part months. You can change your mind and keep the seat any time before the month ends.
  • Closing the account: cancel under Manage Billing. Every seat stays active until the end of the month already paid for.
  • If a payment fails, seats pause until the company card is updated, and resume as soon as the invoice is paid.

Privacy and your clients' records

Meeting records contain personal information about owners and residents, and we treat them accordingly, under British Columbia's Personal Information Protection Act.

  • Each manager's minutes are visible only in that manager's account.
  • Your company page shows the email address on each seat and how many meetings each seat has left, never the contents of any meeting.
  • Meeting materials are used only to prepare the minutes and compliance checklist. They are never sold or shared. See our privacy policy.

Questions

Can our managers sign in with their own email addresses?

Yes. Each seat is given to an email address, and the manager signs in with it using a 6-digit code sent to that address. We recommend company email addresses, so access stays with your company when someone leaves.

What if a manager already has their own StrataMinutes membership?

It stays theirs. Your company cannot see, change, or cancel a membership it did not buy. While they hold a company seat, their meetings use the company seat first, and they can cancel their own membership whenever they choose.

Can we see the minutes our managers prepare?

No. Each manager's minutes are visible only in that manager's account. Your company page shows who holds each seat and how many meetings each seat has left, never meeting contents.

Do unused meetings carry over?

No. Each seat starts every billing month with ten meetings.

Is there a contract or minimum term?

No. Company accounts are month to month. Removed seats and closed accounts stay active until the end of the month already paid for.
