A condo board minutes template that works across Canada
Every standard section in the right order, with the motions formatted the way corporate records should be. Free to download as a Word document or PDF.
Condominium legislation differs across the provinces, but what good board minutes contain barely changes: who attended, that quorum was met, the exact wording of each motion with its mover and result, the financial position as reported, action items, and adjournment. This template puts those sections in the standard order with placeholder text a secretary can replace in minutes.

Jurisdiction-neutral wording for a board of directors of a condominium corporation. Fill in the square brackets, delete what you do not need, and keep the motion format exactly as it is; the motion format is the part that protects the corporation.

What your province expects
The template covers the content; your province's legislation sets the duty to keep it and produce it. In broad strokes:
| Province | The duty, in short | Official source |
|---|---|---|
| British Columbia | Minutes of council and general meetings, including vote results, retained at least six years; owners informed of council minutes within two weeks | Province of BC strata housing |
| Ontario | Minutes of board and owners' meetings are core corporate records the corporation must keep and make available to owners on request | Condominium Authority of Ontario |
| Alberta | Minutes of board and general meetings are corporation documents owners are entitled to obtain | Government of Alberta, condominiums |
| Other provinces | Condominium or strata legislation everywhere requires adequate minutes as corporate records; check your act and bylaws | Your provincial legislation |
Summaries only, current as of July 2026; always confirm against your province's current legislation and your corporation's bylaws.
The habits that make minutes defensible anywhere
- Record decisions, not debates. Motions with movers and results, never who argued what.
- Identify units, not people, in sensitive matters such as arrears or bylaw complaints.
- Distribute promptly and consistently, and mark unapproved minutes as drafts.
- File where the next secretary will find them. Minutes are the corporation's memory, and secretaries change.
